Quick answer
A good job application email has a subject line with the job title and your full name, a greeting to a named person, three short paragraphs on the role, why you fit and what's attached, your CV as a clearly named PDF, and a signature with your phone number. Keep it under 200 words.
Key takeaways
- • Put the job title, any reference number and your full name in the subject line.
- • Write three short paragraphs: the role and source, two or three matching facts, then attachments and availability.
- • Attach your CV as a PDF named with your name, and keep personal Gmail attachments under the 25 MB limit.
- • Replace dated phrases like "Respected Sir" and "PFA" with plain, current English.
- • Check the email on your phone, switch on Undo Send and follow up once after about a week.

A job application email gets judged before anyone opens it, and this subject line shows why: "Application for Accounts Assistant (Ref: AA-07) – Ayesha Khan". In one glance, the recruiter knows the role, the reference number and whose CV is inside. The body that follows should be just as easy to read: a greeting, three short paragraphs, two PDF attachments and a signature with your phone number.
That sample name is made up, but the pattern is the one I teach in every English class at PSTA. Here's what this guide covers:
- The seven steps to write and send the email, in the order you'll do them
- Subject line formats for advertised jobs, internships and referrals
- Three sample emails you can adapt, including one for when no job is advertised
- Common Pakistani English habits that make an email sound dated, with better phrases
- A pre-send check and a polite way to follow up
What Is a Job Application Email, and When Do You Need One?
It's the short message that carries your CV to an employer. Many Pakistani jobs still ask for it. Newspaper ads, university notice boards, school vacancies, NGO posts and small private firms often say "send your CV to" an email address instead of linking to a portal.
The email does one job: it gets your CV opened. It isn't the place for your life story. Think of it as the envelope and the short note clipped to the front.
Competition makes this envelope matter. The Pakistan Bureau of Statistics' Labour Force Survey 2024-25 put unemployment at 7.1%, with more than 8 million people jobless, as reported by ARY News. When one opening attracts hundreds of replies, an email with no subject line or a missing attachment is the easiest one to skip.
What Should You Have Ready Before You Write?
Most mistakes happen because people write the job application email first and hunt for files later. Before you send your CV by email, spend 15 minutes on these three things.
A Professional Email Address
Use your name, not a nickname. An address built from it, such as ayesha.khan.acc on Gmail, reads well. An address like cutepari786@ or khan.rocks@ doesn't. A free Gmail or Outlook account is fine. Create a separate one for job hunting if your current address is from school days.
Your CV as a PDF With a Clear File Name
PDF keeps your layout fixed on any phone or laptop. A Word file can shift fonts, page breaks and Urdu text on the recruiter's screen. Career advisers recommend the same thing. Northeastern Illinois University's career guide suggests PDF attachments named with your name and the document type.
So rename CV final new (2).docx to Ayesha-Khan-CV.pdf. If your CV itself needs work, start with our list of fresh graduate CV mistakes before you apply anywhere.
The Job Ad, Read Twice
Copy the exact job title, any reference number and the deadline into a note. Check whether the ad asks for anything extra, such as a cover letter, expected salary, a recent photo or attested documents. If it names a subject line format, use that format word for word. Some offices sort applications with email filters, and a different subject can land yours in the wrong folder.
How to Write a Job Application Email in 7 Steps
Follow these steps in order. The whole thing should take about 30 minutes the first time and 10 minutes once you have a saved draft.
- Enter the address last. Leave the "To" field empty until the end so a half-written email can't go out by mistake.
- Write the subject line. Job title, reference number if given, then your full name.
- Greet a real person if you can. "Dear Ms. Farah" beats "Dear Sir/Madam". Check the ad, the company's LinkedIn page or the "About" page for the hiring manager's name.
- Paragraph one: what and where. Name the role and where you saw it, such as "advertised in Dawn on Sunday" or "posted on your Facebook page".
- Paragraph two: why you fit. Two or three facts that match the ad. Use numbers where you have them: typing speed, months of experience, a project result.
- Paragraph three: attachments and thanks. Say what you've attached and when you're available for an interview.
- Sign off and attach. Add your full name, phone number (with WhatsApp if you use it) and LinkedIn link. Attach the PDFs, then type the recipient's address.
Keep the body of your job application email under 200 words. A recruiter reading on a phone should see your main point without scrolling.
Email Subject Line for Job Application: Formats That Work
An empty subject line, or one that says "CV" or "Job", is the most common problem I see in student job application emails. Use one of these formats instead.
| Situation | Subject line format | Example |
|---|---|---|
| Advertised job | Application for [Job Title] – [Full Name] | Application for Computer Operator – Bilal Ahmed |
| Ad with a reference number | [Job Title] (Ref: [Number]) – [Full Name] | Admin Officer (Ref: HR-112) – Sana Iqbal |
| Internship | Internship Application: [Field] – [Name], [Degree] | Internship Application: Marketing – Hamza Ali, BBA |
| Someone referred you | Referred by [Name]: [Job Title] Application | Referred by Imran Shah: Junior Accountant Application |
| No job advertised | [Your Role] Seeking [Type of Position] – [Name] | Graphic Designer Seeking Entry-Level Role – Zainab Noor |
| Following up | Follow-Up: [Job Title] Application – [Name] | Follow-Up: Data Entry Clerk Application – Usman Tariq |
Avoid capital letters throughout, words like "URGENT" and emoji. Keep it under about 60 characters so phones don't cut it off.
Three Sample Emails You Can Adapt
Each sample below fits a different situation. Copy the structure, not the sentences, and make every line about you.
Sample 1: Replying to an Advertised Vacancy
Use this job application email sample when a newspaper, notice board or job site gives you an address. All names, dates and numbers in these samples are invented, so swap in your own details.
Subject: Application for Office Assistant – Bilal Ahmed
Dear Mr. Raza,
I'm applying for the Office Assistant position advertised in Daily Mashriq on 10 October. I completed my Intermediate (ICS) this year and a 12-week office automation course, and I'm based in Abbottabad.
In my course I prepared letters, salary sheets and reports in MS Word and Excel. I type at 40 words per minute in English and can also type in Urdu. During summer, I managed the stock register at my uncle's pharmacy for two months.
My CV and course certificate are attached as PDFs. I'm available for an interview any weekday and can join immediately.
Thank you for your time.
Regards,
Bilal Ahmed

Notice what it leaves out: no "Respected Sir", no paragraph about family background and no request to "consider my humble application". Every line gives the reader a fact.
Sample 2: Asking About Openings When No Job Is Advertised
Many jobs in smaller cities are never advertised. A school, clinic or software house may hire whoever writes at the right moment. This is sometimes called a speculative or "cold" email. It's still a job application email, with one extra thing: a reason why you chose this employer.
Subject: Junior Web Developer Seeking Entry-Level Role – Hira Saleem
Dear Mr. Kamran,
I've followed your agency's work on local business websites, including the clinic booking site you shared last month. I'm writing to ask whether you have room for a junior developer or intern.
I recently finished a full-stack course and built three projects: a booking form with email alerts, a product catalogue for a Mansehra shop and a personal portfolio. Live links are in my CV.
I've attached my CV as a PDF. If there's no opening now, I'd be grateful if you kept it on file. I can visit your office for a short chat whenever suits you.
Kind regards,
Hira Saleem

Send cold emails one at a time, by name. Fifty copies pasted into one "To" field, with every address visible, tell each employer they weren't really chosen.
Sample 3: A Fresh Graduate Applying for an Internship
With little experience, lead with what you've done in class and on your own. Projects, a final-year report and short courses all count.
Subject: Internship Application: Digital Marketing – Hamza Ali, BBA
Dear Hiring Team,
I'm a final-semester BBA student at COMSATS Abbottabad, applying for the six-week digital marketing internship listed on your careers page.
For my marketing project, I ran a Facebook page for a local bakery for eight weeks and grew it from 120 to 900 followers. I can write post captions in English and Urdu and use Canva for basic designs.
My CV and a one-page project summary are attached. My classes end on 20 December, and I can start any time after that.
Thank you for considering my application.
Best regards,
Hamza Ali

"Dear Hiring Team" is fine when you truly can't find a name. It sounds current and avoids guessing anyone's gender.
Attachments, File Names and Size Limits
Attachments cause more silent failures in a job application email than wording does. Three rules keep them safe.
Keep files small. For personal Gmail accounts, the combined attachment limit is 25 MB. Go over it and Gmail swaps the file for a Google Drive link, according to Google's help page. A recruiter may not have permission to open that link, so compress scanned documents first. A one-page CV should be well under 1 MB.
Send only what's asked. If the ad wants a CV, send a CV. Attach degrees, CNIC copies or experience letters only when requested, and never send your CNIC to an employer you can't verify.
Mention every file in the body. "My CV and course certificate are attached" helps the reader confirm nothing is missing.
Phrases to Replace in Your Email
Many of us learned letter-writing from older application formats. Those phrases were correct once, but in a job application email they sound stiff or unclear. A formal email in English today is plainer and more direct. Here are swaps I suggest to students.
| Instead of | Write | Why |
|---|---|---|
| Respected Sir, | Dear Mr. Raza, / Dear Hiring Team, | "Dear" plus a name is the standard business greeting. |
| PFA / Please find attached my CV | I've attached my CV as a PDF. | Shorter and direct. "PFA" may confuse readers. |
| I am applying for the post of | I'm applying for the [Job Title] position | "Post" is fine in government forms. "Position" fits private firms. |
| Kindly consider my humble application | Thank you for considering my application. | Confident and polite without lowering yourself. |
| Waiting for your positive response | I'm available for an interview any weekday. | Gives the reader a next step instead of pressure. |
| Please do the needful | Please let me know if you need anything else. | Says exactly what you mean. |
| Hi / AOA Sir | Dear Ms. Farah, | Keep the first email formal. Match their tone after they reply. |
One more habit to drop: writing the whole email inside the attachment and sending a blank body. Many recruiters will never open a file sent with no message.
The Pre-Send Check
Read your job application email once on your phone before sending. That's how most recruiters will see it. Then run through this list:
- The subject line has the job title and your full name.
- The greeting uses the right name, spelled correctly.
- The company name in the body matches this employer, not the last one you applied to.
- Both attachments are there, open correctly and use your name in the file name.
- Your phone number in the signature is current.
- There are no spelling mistakes. Read it aloud slowly to catch them.
- You've sent the email to the address in the ad, not to a forwarded copy.
- The body is under 200 words and fits on one phone screen.
Two Gmail features help here. First, switch on Undo Send and set it to 30 seconds, the longest option Gmail offers. You'll get half a minute to pull back an email with a missing file. Second, if you finish writing at midnight, use Schedule Send so it arrives during office hours. Google notes that scheduled emails can go out a few minutes after the time you set, so pick something like 9:15 AM rather than cutting it close to a deadline.
How Do You Follow Up Without Sounding Pushy?
If the ad gave no timeline, wait about a week after your job application email before following up. That's my rule of thumb, not an industry standard. Reply in the same thread so the recruiter can see your original email and CV. A follow-up email after applying should be three lines, not three paragraphs.
Subject: Re: Application for Office Assistant – Bilal Ahmed
Dear Mr. Raza,
I'm following up on my application for the Office Assistant position, sent on 12 October. I'm still very interested and happy to share anything else you need.
Regards,
Bilal Ahmed

One follow-up is usually enough. After that, move your energy to new applications. Silence often means the position was filled or the process is slow, and it says nothing about your worth.

Where to Practice Email Writing With Feedback
Reading job application email samples helps, but writing your own and getting feedback is what builds the habit. Our English Spoken & Grammar course runs for 12 weeks at beginner level and includes a module on email, CV and message writing, alongside speaking practice for interviews and meetings. The fee listed on the course page is Rs. 12,000 (regular Rs. 14,000). Classes run on campus in Abbottabad and live online, and a hybrid option lets you switch between the two if your schedule changes.
If you also need to prepare the CV and letters themselves on a computer, the Office Automation course covers MS Word, Excel and typing, with a CV and job application letter as one of its projects. For a broader IT qualification, look at the one-year DIT diploma.
You can compare options on the all courses page, then fill in the admission form when you're ready. Want to check batch timings first? Send a WhatsApp message to 0314 5424399, or drop by our Mandian campus (Old College Road, facing FIMS College).
Send One Test Email Today
Before your next application, write a full job application email using the steps above and send it to your own address, or to a friend who'll be honest. Open it on your phone. Check the subject line, tap each attachment and read the signature. Then save it as a draft template. Next time a vacancy appears, you'll only need to change the name, job title and two lines in the middle.
Frequently asked questions
Should I put my cover letter in the email body or attach it?
If the ad asks for a cover letter, attach it as a separate PDF and keep the email body short. If it doesn't ask, the three-paragraph email can do the cover letter's job on its own. Don't paste a full one-page letter into the body, because it pushes your main point below the first screen on a phone.
Is "Respected Sir" wrong in a job application email?
It isn't grammatically wrong, and some government offices still use it. In private companies, though, it reads as dated and assumes the reader is a man. "Dear Mr. Raza" or "Dear Ms. Farah" is the standard greeting. If you can't find a name, "Dear Hiring Team" is a safe, current choice.
Can I send my CV from my phone?
Yes, as long as the result looks the same as it would from a laptop. Save your CV as a PDF in Google Drive or your phone's files, attach it from there and type a proper subject line. Avoid sending a photo of a printed CV or a screenshot, because recruiters can't search or print those properly.
What should I do if the ad doesn't give the hiring manager's name?
Check the company's website, LinkedIn page or Facebook page for an HR officer or department head. If the ad lists a general address like hr@ or jobs@, "Dear Hiring Team" or "Dear HR Team" works well. Never guess a name, since spelling someone's name wrong is worse than using a team greeting.
Should my CV be a Word file or a PDF?
Send a PDF unless the employer asks for Word. A PDF keeps your fonts, spacing and page breaks the same on every device. Word files can rearrange themselves on a different computer, especially if your CV uses Urdu text or a font the recruiter doesn't have installed.
How long should I wait before following up?
If the ad gives a timeline, wait until it has passed. If it doesn't, about one week is a reasonable gap. Reply in the same email thread with a short, polite note. One follow-up is enough for most jobs, and after that it's better to spend your time on new applications.
Can I write a job application email in Urdu?
Write in English unless the ad itself is in Urdu or asks for an Urdu application. Most private employers, banks, NGOs and software houses in Pakistan expect English. If the job involves Urdu typing or writing, mention that skill in the email and show it in your CV instead.
